Who we are

Whitehorse Orthodontics operates this website and is responsible for the personal information described in this policy.

You can reach us at 302 Jarvis Street, Whitehorse, YT Y1A 2H2, Canada, by email at info@whitehorseortho.com, or by phone at (867) 668-4406.

Information we collect

We collect only what we need to answer your enquiry and to keep the website working well. This website is not our patient records system. Clinical records are kept separately inside the practice, not on this site. We do not buy personal information from data brokers and we do not sell yours.

  • Information you give us, when you submit the contact form: your name, email address, phone number, the treatment you are asking about, and anything else you choose to include in your message. Please do not send a detailed medical or dental history through this form. Bring it to your consultation instead.
  • Information collected automatically, when you browse the site: your IP address (truncated where analytics allows), browser and device type, approximate region, the pages you view, the site or search that referred you, and the time and length of your visit.
  • Cookies and similar technologies, which are small files stored by your browser. See the cookies section below.

Why we use it, and our legal basis

We use the information above to respond to your enquiry and arrange a consultation, to provide and improve the website, to keep it secure and detect abuse, and to comply with our legal and tax obligations.

Where a privacy law that requires a legal basis applies to you (for example the UK/EU GDPR), we rely on: your consent for non-essential cookies and any marketing message; our legitimate interest in running and securing our website and in replying to enquiries; the steps necessary to arrange the appointment you have asked for; and our legal obligations for record-keeping.

We do not use your information to make decisions about you by automated means alone, and we do not profile you for automated decision-making.

Who we share it with

We do not sell or rent your personal information, and we do not share it for cross-context behavioural advertising. We share it only with the service providers who help us run this website and our business, each of which is contractually limited to processing it on our instructions:

  • Our website hosting provider, which stores and serves the site.
  • Our form provider, which delivers your enquiry to our inbox.
  • Our email provider, which carries our reply to you.
  • Professional advisers, and government or law-enforcement bodies where we are legally required to disclose information.

Where your information is processed

Some of our service providers process information on servers outside your country, including in the United States. Where information is transferred out of a region with transfer restrictions (such as the UK, the EEA, or Canada), we rely on our providers' approved safeguards, typically the European Commission's Standard Contractual Clauses or an adequacy decision, and we take reasonable steps to confirm the information receives comparable protection.

Cookies and embedded content

Cookies are small text files a website stores in your browser. Strictly necessary cookies keep the site working and are always set.

We do not run an analytics or advertising tag on this website, so we set no cookie that follows you across other sites. The one place a third-party cookie can be set is the Google Map embedded on our contact page, which loads from Google and is subject to Google's own privacy policy.

You can block or delete cookies in your browser settings at any time. Blocking strictly necessary cookies may stop parts of the site working.

Our site respects the Global Privacy Control (GPC) signal where your browser sends one.

How long we keep it

We keep website enquiry details for 24 months from your last contact with us, unless you ask us to delete it sooner. If you go on to become a patient, your clinical record is kept separately inside the practice, under the retention periods that apply to dental health records in Yukon. Records we must keep for tax or legal reasons are kept for as long as the law requires, and then deleted.

Your rights and choices

Whatever your location, you can ask us to give you a copy of the personal information we hold about you, correct it if it is wrong, delete it, or stop using it for a particular purpose. You can also ask us to stop sending you messages at any time.

Depending on where you live you may have additional rights, for example to data portability, to withdraw consent, to object to processing, to appeal a refused request, or to be free from discrimination for exercising a privacy right. We honour all of these regardless of where you live.

To exercise any right, email info@whitehorseortho.com. We will respond within the time your local law allows, and within 30 days in every case. We may need to verify your identity before acting, and we will only ask for what is necessary to do so. You may use an authorised agent where your local law allows it.

If you are unhappy with our response, you may complain to your local privacy regulator.

Children

We treat children and teenagers, but this website is written for the adults who arrange their care. We ask that an enquiry about a child under 13 be sent by a parent or guardian, and we do not knowingly collect information directly from a child under that age. If you believe a child has given us their information without a parent, contact us and we will delete it.

Health information

We are a dental specialty practice, so we want to be exact about the line between this website and your health record.

Anything you type into the form on this site is treated as a general enquiry, not as a clinical record. It arrives in an ordinary email inbox. Once you become a patient, the information you give us in the practice (your medical and dental history, radiographs, scans, photographs and treatment notes) is held in our clinical records system, is used to plan and deliver your care, and is disclosed only with your consent or where the law or our professional obligations require it.

Email and web forms are not a secure channel. Please keep anything sensitive for your appointment, a phone call, or a message sent through the practice directly.

How we protect it

The site is served over an encrypted HTTPS connection, and we limit access to enquiry details to the people who need it to reply to you. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we will notify you and the relevant regulator, as required by law, if a breach affects your information.

Changes to this policy

We update this policy when our practices change. The date at the top shows when it was last revised. If a change materially affects how we use your information, we will make that clear on this page.
